This policy explains how RankLet ("we", "us", "our") collects, uses and protects your personal data when you visit ranklet.co.uk or get in touch with us. We are the data controller for the information described below. RankLet provides local-SEO services to letting agents and property management companies in the United Kingdom.

1. The information we collect

Information you give us — when you complete the enquiry form to request a free video analysis, we collect your name, email address, agency website, the town or area you want to rank in, your indicated marketing budget, and your approximate portfolio size. If you email or speak with us, we keep a record of that correspondence.

Business contact information — where we identify letting agents and property managers who may benefit from our services, we may process publicly available business contact details (such as a company name, business website and business email) for the purpose of making a relevant introduction.

Information collected automatically — our host keeps standard server logs (such as IP address and browser type) for security and reliability. We do not currently run third-party advertising or cross-site tracking. If we add website analytics in future, we will update this policy and our Cookies Policy.

2. How and why we use your information

To prepare and send your free video analysis and respond to your enquiry.
To provide, manage and improve our services if you become a client.
To contact relevant businesses about services that may help them.
To keep our website secure and working properly.
To comply with our legal and accounting obligations.

3. Our lawful bases (UK GDPR)

Consent — when you submit the enquiry form, you ask us to contact you with your analysis.
Legitimate interests — to run and grow our business, including relevant B2B outreach to other businesses, balanced against your rights. You can opt out at any time.

4. Who we share it with

We do not sell your data. We share it only with trusted service providers who help us operate, and only as needed:

Netlify — website hosting and form submissions.
Google — business email (Google Workspace) and, where used, analytics.
Professional advisers (e.g. accountants) and authorities where legally required.

5. How long we keep it

We keep enquiry and correspondence data for as long as needed to respond and for a reasonable period afterwards (normally up to 24 months), and client records for as long as required for the engagement and to meet legal/accounting obligations. We delete or anonymise data when it is no longer needed.

Under UK data protection law you have the right to access, correct, delete or restrict the use of your personal data, to object to processing, and to data portability. To exercise any of these, email hello@ranklet.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO), though we'd appreciate the chance to put things right first.

We use reputable providers and appropriate measures to protect your information. No method of transmission over the internet is 100% secure, but we take reasonable steps to keep your data safe.
